1. Who we are

The "Vet-Files afspraken" connector is a service of Vet-Files, a product of MillerFox BV, Hoogeind 160, 2940 Stabroek, Belgium, company and VAT number BE 0681.386.891. It lets your AI assistant (for example Claude or ChatGPT) arrange an appointment for you at a veterinary practice that uses the Vet-Files online agenda.

Vet-Files is a product, not a separate company: where these terms say "Vet-Files", "we" or "us", they mean MillerFox BV.

You accept these terms when you confirm a booking or connect your account. If you are a minor, you use the connector with your parents' permission.

Using the connector is free of charge: Vet-Files does not charge you anything. Your assistant may be a paid service, and the practice charges its own fees for the appointment.

2. What the connector does

Without signing in, your assistant can search for practices, look up appointment types and free times, and book an appointment as a new client (guest). The practice reviews a guest booking before it is final.

If you sign in with your account for your practice's online agenda, your assistant can also, at that one practice:

  • view your account, your animals and your upcoming appointments;
  • book, reschedule and cancel appointments, within the practice's rules.

The connector does not give veterinary advice and is not meant for emergencies. In an emergency, call your practice right away or, outside opening hours, the vet on duty.

3. The appointment is between you and the practice

You make the appointment with the practice, not with Vet-Files. The practice decides which appointments can be made online, when, and until when you can reschedule or cancel them. It may refuse, move or cancel an appointment, and it may stop accepting bookings through assistants. For questions about your appointment or about your animal's care, contact the practice.

Vet-Files only provides the technical link between your assistant and the practice's agenda.

4. Your AI assistant

You choose your assistant. It is offered by another company (for example Anthropic or OpenAI), with its own terms and privacy policy. What you tell your assistant and what it shows you is covered by those terms. Vet-Files has no control over what your assistant says or does.

An assistant can make mistakes: pick the wrong practice, time or animal, or summarise something incorrectly. Your assistant asks for your confirmation before it books, reschedules or cancels. Check that summary carefully before you confirm.

You will find the appointment as it stands in the practice's agenda in the confirmation e-mail. If it is not what you wanted, reschedule or cancel it, or contact the practice.

5. What we expect from you

  • You give correct information about yourself and your animal.
  • If you book as a guest for someone else, you do so with that person's permission and you pass on the correct information.
  • You only sign in with your own account. You keep your password secret and never give it to your assistant: you only enter it on the Vet-Files sign-in page (api.vet-files.com).
  • You only book appointments you actually need, and you cancel an appointment you will not attend.
  • You do not use the connector to make bookings in bulk or automatically, flood practices' agendas, get around limits, access other people's data, or test or disrupt its security.

In case of misuse as described above, Vet-Files may revoke your connection and restrict your access to the connector, and the practice may refuse or cancel appointments. Where possible, we tell you why.

6. Connecting your account

When you sign in, you connect your assistant to your account at one practice. You explicitly give your assistant access for this on the Vet-Files page. The connection:

  • applies to one practice and one assistant;
  • expires automatically 90 days after it was last used;
  • stops when you disconnect it in your assistant, when you change your password in the online agenda, or when you have it revoked through your practice;
  • also stops when the practice blocks your account for online use or deletes it, or when Vet-Files revokes it in case of misuse or to protect security.

7. Availability

We do our best to keep the connector working well, but we do not guarantee that it is always available or free of errors. A free time may have been booked by someone else in the meantime. We may suspend, change or stop the connector, or part of it, temporarily or permanently, for example for maintenance, in case of misuse, or when a practice stops. If something does not work, contact the practice.

8. Liability

The connector is free and provided as is. Vet-Files is not liable for:

  • mistakes or decisions of your AI assistant or its provider;
  • decisions of the practice, such as refusing, moving or cancelling an appointment;
  • damage because the connector was temporarily unavailable due to maintenance, a malfunction or force majeure, or because an appointment was not made.

This does not limit any liability that cannot be limited by law, such as for intent or gross negligence on our part or on the part of those working for us, or for personal injury, nor any rights you have as a consumer.

9. Privacy

Your practice is responsible for your appointment, your client details, your animals and your account. MillerFox BV is itself responsible for the data needed to run and secure the connector, such as the connection with your assistant and the technical logs.

10. Changes

We may update these terms, for example when the connector changes. The date at the top shows the current version. We announce important changes on this page at least 30 days in advance. If you do not agree, you can disconnect at any time, free of charge, and stop using the connector. If you keep using it after that period, the new terms apply.

If a change gives your assistant more access to your account, we ask you again to give your assistant that access.

11. Applicable law

These terms are governed by Belgian law. In case of a dispute, we first try to find a solution together.

As a consumer, you keep the protection of the law and the courts of your place of residence. In other cases, the courts of Antwerp have jurisdiction.

These terms exist in several languages. If the versions differ, you can rely as a consumer on the version in your language.
