An appointment with your vet,
via your AI assistant

With the "Vet-Files afspraken" connector, you can book an appointment through Claude, ChatGPT or another AI assistant at any veterinary practice that uses the Vet-Files online agenda. Add the connector once, then simply ask for an appointment in your own words. Already a client? Then you can also log in and manage your own appointments.

For pet owners

From question to appointment in three steps.

1. Add the connector

You only do this once. Use the name Vet-Files afspraken and the URL above.

Button not working? In Claude, go to Customize > Connectors, click + Add > Add custom connector, enter the name Vet-Files afspraken and paste the URL.

  1. Click Add to Claude. Claude opens the Add custom connector window with the name and URL already filled in. If you are not logged in, Claude asks you to log in first. Click Continue.
  2. Under Authentication, choose Sign in when needed, and under OAuth client, Use Claude’s published identity. Click Add.
  3. Turn the connector on in your conversation: click + at the bottom left, choose Connectors and switch on Vet-Files afspraken.

Works on every Claude plan, including Free (which allows one custom connector). With "Sign in when needed" you can book as a guest straight away; Claude only asks you to log in when you ask about your own appointments. If you added the connector earlier with "No sign in", remove it and add it again: this setting cannot be changed afterwards. Claude will mention that the connector has not been verified by Anthropic; that is normal for a custom connector.

ChatGPT

  1. Click Open ChatGPT or go to Plugins yourself (chatgpt.com/plugins).
  2. Click Add and choose Add custom MCP server.
  3. Enter the name Vet-Files afspraken and paste the URL under Server URL.
  4. Under Authentication, choose OAuth or no authentication.
  5. Read the warning, tick I understand and want to continue and click Create as a plugin.
  6. ChatGPT now shows Connect Vet-Files afspraken. If you have an account for your practice’s online agenda, click Sign in with Vet-Files afspraken and log in on the Vet-Files page (see Already a client?). Without an account, click Use without account: you then book as a guest.
  7. In a conversation, type @ and choose Vet-Files afspraken.

If you chose "Use without account", you can still log in later: ask about your own appointments and ChatGPT shows the connect screen again, with "Sign in with Vet-Files afspraken". You do not need to add the plugin again. OpenAI changes these menus regularly, so the names may differ slightly for you. If you cannot find the option, search the ChatGPT help for "custom MCP server".

Using another assistant? Look in its settings for an option to add a custom connector or MCP server, and use the same name and URL. Booking as a guest will work; logging in currently only works with Claude and ChatGPT.

2. Ask for an appointment

Ask the way you would at the reception desk, for example:

Book an appointment at my vet in Putte for my dog, he is limping.

What the assistant does next

  • It finds your practice by name, town or postcode.
  • It shows the appointment types and free time slots from the practice’s online agenda.
  • It asks for your name, e-mail address and phone number, your animal’s name and species, and the reason for the visit.
  • It summarises everything and explicitly asks for your confirmation before booking.

3. After booking

  • Your appointment arrives as a guest booking in the practice’s agenda.
  • The practice still confirms the appointment.
  • You receive a confirmation e-mail.

Not (yet) possible via the assistant

  • Rescheduling or cancelling a guest booking: contact the practice. If you have an account at the practice, log in (see below).
  • Several animals in one booking: make a separate appointment for each animal.

An emergency?

Never book an emergency online. Call your practice straight away or, outside opening hours, the vet on duty.

Already a client? Log in with your account

Do you already have an account for your practice’s online agenda? Link it to your assistant. It can then show and manage your own appointments.

What your assistant can then do, at that practice

  • Show your name as the practice knows it, and your animals: name, species, breed, sex and date of birth.
  • Show your upcoming appointments, including those you made by phone or through the online agenda.
  • Book an appointment for one of your animals or for a new animal, without giving your contact details again.
  • Reschedule or cancel an appointment, up to 24 hours in advance and if the practice allows it.

How to link your account

  1. Add the connector as described above. In Claude, choose Sign in when needed; in ChatGPT, OAuth or no authentication.
  2. Ask something about your own appointments, for example: "Which appointments do I still have at my vet?"
  3. Your assistant asks you to log in. In Claude, click Connect; in ChatGPT, click Sign in with Vet-Files afspraken.
  4. A Vet-Files page opens (api.vet-files.com). Find your practice by name, town or postcode and log in with the e-mail address and password of its online agenda.
  5. On the next screen, check which assistant is asking for access and at which practice, then click Allow.
  6. You return to your assistant, which carries on with your question.

You only enter your password on the Vet-Files page, never in the conversation. Your assistant does not see it and the connector does not store it. The login screen is available in Dutch, French, English and German.

For veterinary practices

Do you use the Vet-Files online agenda? Then your clients can now also book through their AI assistant and, if they have an account, manage their appointments.

Guest bookings on by default

Every practice with the Vet-Files online agenda can automatically be reached through the connector for guest bookings; there is nothing to set up. Logging in for existing clients works as soon as you have confirmed the contract with the updated data processing agreement in Vet-Files.

Guest bookings

A guest booking via AI arrives as a regular guest booking: a temporary client that you validate, just like a booking through the online agenda.

Clients with an account

A client with an account for your online agenda can link their assistant to it. The assistant can then see their appointments and animals, book for their animals, and reschedule or cancel appointments.

The same rules

Your opening hours, booking window and appointment types apply here too. Rescheduling and cancelling are only possible if you allow them in the online agenda, and up to 24 hours in advance. Whether a booking by a client with an account is confirmed straight away follows your setting.

No new clients and blocking

If you have stopped taking new clients, guests cannot book, but clients with an account can still log in. If you block an account for online use, its link stops too. If your online agenda is switched off, the connector does not work for your practice.

Opting out

Prefer not to be reachable through AI assistants? Let the Vet-Files helpdesk know. The connector will then stop working for your practice, including for clients who already linked their account. Your online agenda keeps working as usual.

Frequently asked questions

Can I book an appointment with my vet through ChatGPT or Claude?

Yes, if your vet uses the Vet-Files online agenda. Add the "Vet-Files afspraken" connector in your AI assistant with the URL https://api.vet-files.com/mcp, then ask for an appointment.

Do I need an account?

No. Without an account you book as a guest and the practice still confirms the appointment. If you already have an account for your practice’s online agenda, you can log in to see and manage your own appointments, if your practice offers this.

Which details are requested?

As a guest: your name, e-mail address and phone number, your animal’s name and species, and the reason for the visit. No address and no medical history. When you are logged in, the practice already knows your details.

Can I reschedule or cancel my appointment through the assistant?

Yes, if you log in with your account at the practice: up to 24 hours in advance and if the practice allows it. If you booked as a guest, contact the practice.

Does my assistant see my password?

No. You log in on a Vet-Files page, not in the conversation. Your assistant does not see your password.

How do I end the link with my assistant?

Disconnect it in your assistant, or change your password in your practice’s online agenda; every link of your account then stops. A link you do not use for 90 days expires by itself.

Can I book an emergency online?

No. In an emergency, call your practice straight away or, outside opening hours, the vet on duty.

Help and troubleshooting

Something not working with the connector? Here are the most common problems.

I cannot log in

Choose the practice where your account is, and use the e-mail address and password of its online agenda. Forgot your password? Request a new one in your practice’s online agenda. After a few failed attempts you have to wait a while. If your account is blocked or not yet checked, contact the practice. Not every practice offers logging in yet; in that case, book as a guest. Logging in currently only works with Claude and ChatGPT. In Claude, the connector must have been added with "Sign in when needed"; otherwise remove it and add it again.

My link no longer works

A link stops if your password is changed or reset, if your account is deleted, if you disconnect it in your assistant, after 90 days without use, or if the practice blocks your account. Ask something about your appointments and log in again. If your assistant says the practice is not available, the connector no longer works for that practice. To have a link revoked, ask your practice.

My practice is not listed

The connector only works with practices that use the Vet-Files online agenda. Search by name, town or postcode. If the practice is not taking new clients, you cannot book there as a guest; if you have an account there, log in.

Rescheduling or cancelling does not work

This is only possible when you are logged in, up to 24 hours before the appointment, and if the practice allows it. Otherwise, call the practice.

I booked as a guest and want to change my appointment

Contact the practice. A guest booking cannot be rescheduled or cancelled through your assistant.

I am a practice and want to opt out

Contact the Vet-Files helpdesk. The connector will then stop working for your practice, including for clients who already linked their account. Your online agenda keeps working as usual.

Privacy and data

  • As a guest, the assistant only asks for what is needed to book: no address and no medical history. The connector passes your details straight on to the practice. Vet-Files only keeps track of which appointments were made through an assistant, and erases the data about you and your animal in that record 30 days after the appointment. If you log in, we also keep the link with your assistant until you end it. More about this in the privacy statement.
  • You log in on a Vet-Files page. Your password is not passed to your assistant.
  • A linked assistant only sees your own account at that practice: no medical records and no data of other clients.
  • What your assistant retrieves, such as your appointments, ends up in your conversation and falls under your assistant’s terms.
